This policy explains how Solihull Climate Solutions Ltd ("we", "us") handles personal information when you contact us through this website. We only collect what we need to respond to your enquiry, and we don't share it with anyone else. Plain English, no surprises.

2. What information we collect
When you submit our enquiry form, we collect only the details you choose to provide:
- First name and last name — so we know who to address our reply to
- Email address — to send you a written response and quote
- Phone number — so we can call you back if you prefer to discuss by phone
- Postcode — to confirm you're within our service area and help estimate travel
- Property and enquiry type — so we know what kind of quote to prepare
- Your message — anything else you've told us about your project
- Your consent — a record that you ticked the consent box, and the time you submitted the form
That's the entire list. We do not use website cookies, analytics, advertising trackers, or any other automated data collection on this site.
3. How we use your information
We use the details you provide for one purpose only: to respond to your enquiry. That may include:
- Replying by email or phone with information, advice, or a quote
- Arranging a site survey if you'd like to take things forward
- Following up on a project, install, or aftercare conversation we've already had with you
If you tick the optional marketing checkbox, we may also occasionally email you about services or seasonal offers. You can opt out of these at any time using the link in any marketing email, or by emailing matt@solihullclimate.co.uk.
4. Our legal basis for processing
Under UK GDPR, we rely on the following legal bases:
- Consent — when you tick the consent box on our enquiry form, you're giving us permission to hold and use your details to reply
- Legitimate interests — where we follow up on an ongoing project or quote you've requested, we have a legitimate business interest in being able to deliver the service you've asked for
- Consent (separate) — for any optional marketing emails, which you opt into separately
5. Who we share it with
We don't sell, rent, or trade your personal information. We don't share it with third parties for their own marketing.
The only places your data goes outside our team are:
- Netlify — the platform that hosts this website and receives form submissions before forwarding them to us. Their privacy policy explains how they handle data.
- Our email provider — we use a standard business email service to receive and reply to your enquiry.
- HMRC, regulators, or courts — only where we are legally required to.
6. How long we keep it
We hold enquiry details for as long as we may reasonably need them to deliver the service you've asked for or to handle any related warranty or aftercare matters. In practice this means:
- Enquiries that don't proceed to a quote: deleted within 12 months
- Active quotes and customer records: kept for the duration of the project and the 5-year warranty period that follows, after which they are reviewed and deleted unless we need to keep them for tax or legal reasons
- Marketing email list: kept until you unsubscribe or ask us to remove you
7. How we protect it
We take reasonable steps to protect your information from accidental loss, unauthorised access, or misuse. Form submissions are sent over an encrypted connection (HTTPS) and stored within secured business systems. Only people in our small team who need to see your enquiry to respond to it have access.
8. Your rights
Under UK GDPR you have the right to:
- Access — ask for a copy of the personal data we hold about you
- Correction — ask us to fix anything that's inaccurate
- Deletion — ask us to delete your data (we'll do so unless we're legally required to keep it)
- Withdraw consent — at any time, for anything you've previously consented to
- Object — to our use of your data, where we're relying on legitimate interests
- Portability — ask us to send your data to you, or to another provider, in a usable format
- Complain — to the UK regulator, the Information Commissioner's Office (ico.org.uk), if you think we've handled your data poorly

9. Children
This website is intended for adults arranging air conditioning installation or servicing. We do not knowingly collect personal information from anyone under 16.
10. Changes to this policy
We may update this policy from time to time — usually when something practical changes, like our address or which platforms we use. The date at the top of the page tells you when it was last revised. Significant changes will be flagged in any email we send you.
